Passport to Discovery

Have you ever planned an event with specific needs that no store-bought software could address? One of our clients, Barbizon Modeling, had this experience and asked us to help.

Barbizon hosted an annual event called Passport to Discovery on a cruise ship rented out exclusively for Barbizon attendees. However, the cruise line didn’t offer an easy way to assign guests to rooms and used DOS for their own purposes. Barbizon needed a solution that would streamline this process while minimizing the potential for mistakes or errors—especially because many attendees were minors.

We used FileMaker Pro to create a Booking Tool to display all of the rooms on the ship, including relevant room details such as capacity, type, and if it was handicap-accessible. Developed with a user-friendly perspective, the intuitive display made it easy for staff to assign guests. At a glance, viewers could easily check the status of rooms (empty, partially empty, full, or overbooked) when booking the event, and the tool indicated if there was a potential gender conflict between assigned guests.

After Passport to Discovery concluded, Barbizon reported the final product met their needs perfectly. The Booking Tool made coordinating rooms for the event easy without being time-intensive, and it reduced problems when guests arrived. Barbizon’s staff were easily able to use the Booking Tool to resolve the few conflicts that did occur, satisfying their guests.

This project didn’t stop when the cruise concluded. On our own, we further developed this application to be a standalone tool, separate from Barbizon’s database. We then submitted it to FileMaker and won their 2017 Excellence Award for Design.
